Resident travel survey prize draw terms and conditions

City of York Council is asking residents of The Student Roost and Langley Gate to complete a travel survey questionnaire, which is accompanied by a prize draw.

The following are the terms and conditions of entering the prize draw.

1. Promoter

The promoter of the prize draw detailed in these terms and conditions is City of York Council, West Offices, Station Rise, York YO1 6GA (the Promoter).

2. Eligibility

The prize draw is open to staff or residents of The Student Roost or Langley Gate, who have completed the resident travel survey.

3. Free to Enter

The prize draw is free to enter to those who meet the eligibility criteria in paragraph 2 above - no purchase is necessary.

4. Method of Entry

All entries must be submitted together with a completed resident travel survey. Only one entry per person is permitted.

5. Starting and Closing Date

The opening date for entries is 9.00am Monday 18 May 2026. The closing date of the prize draw is 5.00pm Monday 1 June 2026. Entries received after this time will not be considered.

6. Prize Draw

The winner will be chosen by a random draw on Tuesday 2 June 2026 ('Draw Date').

7. Prize

The winner will receive a £100 York Gift Card.  

8. Notification of Winners

The winner will be notified by email (using details provided at entry) before Friday 5 June 2026 and will be required provide an email address to claim their prize. If a winner does not respond to the Promoter within thirty (30) days of being notified by the Promoter, then the winner’s prize will be forfeited and the Promoter will be entitled to select another winner in accordance with the process described above.

9. Prize Delivery

The prize will be sent to the winner by post or by hand delivery within fourteen (14) days of them being notified of their win.

10. Prize Non-Exchangeable

Prizes are non-exchangeable, non-transferable and no cash alternative is offered.

11. Decision of Promoter

The decision of the Promoter regarding any aspect of the prize draw is final and binding and no correspondence will be entered into about it.

12. Details of Winner

The Promoter must either publish or make available information that indicates that a valid award took place.

To comply with this obligation the Promoter: a. will send the surname of the winner to anyone who emails: itravel@york.gov.uk or writes to iTravel York, City of York Council, Highways and Transport/Directorate of Place, Eco Depot, Hazel Court, York YO10 3DS  (enclosing a self-addressed envelope) within 1 month of the closing date stated in paragraph 5 above.

By entering the prize draw you agree to us sharing your details as described as above, unless you have expressly tell us not to do so by contacting us via email: travel@york.gov.uk. In such circumstances, the Promoter must still provide the information and winning entry to the Advertising Standards Authority on request. Please also see paragraph 16 below which contains further details about how your personal data will be processed.

13. Acceptance of Prize Draw Terms and Conditions

Participants are deemed to have accepted and agreed to be bound by these terms and conditions upon entry. The Promoter reserves the right to refuse entry or refuse to award a prize to anyone in breach of these terms and conditions.

14. Suspension / Cancellation of Prize Draw

The Promoter reserves the right to hold void, cancel, suspend, or amend the promotion where it becomes necessary to do so.

15. Liability of the Promoter

Insofar as is permitted by law the Promoter will not under any circumstances be responsible or liable to compensate any winner or accept any liability for any loss, damage, personal injury or death occurring as a result of taking up a prize except where it is caused by the negligence of the Promoter, its agents or distributors or that of their employees. Your statutory rights are not affected.

16. Personal Data

Personal data supplied by you during the course of this prize draw will only be processed by the Promoter:

a) to assess your entry into the prize draw

b) to check that you meet these terms and conditions

c) to administer the prize draw and to contact you if you are a winner

d) to comply with its statutory obligation to publish or make available information that a valid award has taken place (as detailed at paragraph 12 above); and

e) as set out in the Promoter’s privacy policy and in accordance with all relevant data protection legislation

17. Severability

If any provision or part-provision of these terms and conditions is or becomes invalid, illegal or unenforceable, it shall be deemed deleted, but that shall not affect the validity and enforceability of the rest of the terms and conditions.

18. Governing Law and Jurisdiction

The prize draw will be governed by English law and entrants to the prize draw submit to the jurisdiction of the English courts.
